HMA IT Freshservice approval workflow
- Compliance – In order for a subcontractor to have access to HMA systems and maintain access and compliance a subcontractor must have/do the following:
- Onboarding ticket approved by both the Contracts team and Kelly Johnson.
- Valid Subcontractor agreement
- Completed both current versions of HMA’s security awareness and business associates training within 44 days of being onboarded.
- Login to HMA systems at least once every 90 days
- How can a subcontractor be offboarded?
- Expired contract
- Manual notification from the HMA PM responsible for the sub.
- Compliance training not completed on time
- Automated process triggered by 90 days of inactivity (Soft Offboard for 30 additional days)
- How can a subcontractor be reinstated?
- Onboarding ticket approved by both the Contracts team and Kelly Johnson.
- Training is completed and verified along with Contracts team approval.
- Who should I call if I have questions?
- The Contracts team is responsible for Subcontractors. HR does not track or have any insight into this.
- Lead from the IT Side is Nick Smith.
