Subcontractor With Access Onboarding Process Who is responsible for initiating the Subcontractor onboarding process? An authorized Project Manager / Lead Consultant will begin the process by reaching out via an email to the Contracts team <Contracts@healthmanagement.com>. Consultant will submit a completed HMA Subcontractor Request Form (found on Compass HERE) to Contracts@healthmanagement.com to create a Contracts ticket If the form indicates a sub will have access to PHI/PII, Contracts team will draft a subcontractor BAA. If the form indicates a sub will require access to HMA systems or require an HMA email address, Contracts team will include the appropriate language in the service order and initiate the approval process by providing/directing the consultant to the link to IT’s Subcontractor Request form: https://helpdesk.healthmanagement.com/support/catalog/items/135 Completion of IT’s Subcontractor Request form will autogenerate an approval email to Kelly Johnson (CAO). If approved by Kelly, an approval email will be sent to the contracts team to a) finalize applicable legal document or b) verify that applicable legal documents are in place. For example: Independent Contractor Agreement, Service Order, BAA, NDA, and/or any other legal agreements fully executed. Required training is completed. Required screening/vetting is completed (Per SOC 2 and HIPAA, two questions should be answered. 1) Does this subcontractor need to have any background checks or other screenings? 2) Does this subcontractor need to hold any certifications/credentials? When approved and verified by Kelly and the contracts team, The ticket will be assigned to the Employee transition team with a note that the request has been approved and the onboarding process can begin.
